Introduction
In some Microsoft Teams channels, lists, or other shared content, information may appear to be missing even though the data has not been deleted.
This can occur when a Team owner, channel administrator, or other user with sufficient permissions applies a filter to the default shared view. Because other members may not realize that the default view has been changed, it can appear that records or other information have disappeared.
Removing the filter from the default view restores the expected data for users
Instructions
Symptoms
Users may report that:
The underlying data may still be present. A filter applied to the default view can prevent users from seeing it.
Cause
A Team owner, channel administrator, or another user with permission to modify the shared/default view has applied a filter to that view.
Because the change affects the view used by other members, those members may inherit the filtered view without realizing that a filter is active. This can make valid data appear to be missing.
Resolution
A Team owner, channel administrator, or other user with appropriate permissions should:
- Open the affected Team, channel, list, or shared content.
- Open the default view used by Team members.
- Check the view for any active filters.
- Remove the filter that is limiting the displayed information.
- If necessary, save or update the default view so that the unfiltered view is available to all members.
- Have the affected user refresh or reopen the content.
Once the filter is removed from the default view, the previously hidden information should become visible again.
Important
Do not assume that missing information has been deleted.
Before attempting data recovery, restoring content, changing permissions, or escalating the issue, first check whether a filter has been applied to the default/shared view.
If the user does not have permission to modify the default view, contact the Team owner or administrator and ask them to review and remove the filter.
For Team Owners and Administrators
When a filter is needed for a specific purpose, avoid changing the default view if that change will affect other users.
When possible:
- Create a separate view for filtered information.
- Give the new view a descriptive name.
- Leave the default view unfiltered so users can see all information they normally have permission to access.
This helps prevent other Team members from mistakenly believing that information has been removed or lost.
If the Problem Continues
If the expected information is still unavailable after filters have been removed:
-
Verify that the user is accessing the correct Team, channel, list, or location.
- Confirm that no other filters or customized views are active.
- Verify that the user has appropriate permissions to the content.
- If the information is still missing, contact the SCSU IT Service Desk for additional assistance.
