Printing Multiple Copies Using the Collate Feature on a Mac

Introduction

The Collate setting controls the order in which multiple copies of a multi-page document are printed. This is useful when printing packets, handouts, or other documents that need to remain in page order.

Instructions

Print a Collated Document

  1. Open the document you want to print.
  2. Select File > Print, or press Command (⌘) + P.
  3. Select the desired printer.
  4. Enter the number of copies you want to print.
  5. Locate the Collate option:
    • Depending on the application and printer driver, you may need to expand the Print dialog or select an option such as Paper Handling, Printer Options, or Finishing to locate additional print settings.
  6. Select the desired collating option.

Collated

Example: 1,2,3 • 1,2,3 • 1,2,3

  • Prints each complete document set in page order.
  • This is ideal when each copy should remain together as a finished document.

Uncollated

Example: 1,1,1 • 2,2,2 • 3,3,3

  • Prints all copies of page 1, followed by all copies of page 2, and so on.
  • This is useful when pages will be sorted or assembled manually after printing.

Optional: Select Stapling Preferences

If the selected printer has a finisher that supports stapling:

  1. From the macOS Print dialog, locate the printer-specific settings.
  2. Look for Printer Options, Printing Features
  3. Enable Stapling.
  4. Select the desired stapling position, such as a single corner staple or multiple staples, if those options are supported.
  5. Review the remaining print settings before printing.

Note: Stapling options are only available when the selected printer has the necessary finishing hardware and the Mac has access to the appropriate printer features. The exact names and locations of these settings vary by printer model and driver.

Print and Release Your Job

  1. Review your settings and select Print.
  2. Go to a supported printer.
  3. Open the Pharos Print app and use either:
    • The QR code scanner/camera feature, or
    • Your release passcode.
  4. Locate and release your print job.

Troubleshooting

If you do not see Collate, Stapling, or other finishing options:

  • Confirm that the correct printer is selected.
  • Verify that the printer supports the feature you are trying to use.
  • Check the available Printer Options, Finishing, or similar sections in the Print dialog.
  • Keep in mind that available settings and their locations can differ between applications and printer models.
