Checking Voicemails on Zoom Phone

Overview

St. Cloud State University (SCSU) employees can manage voicemail messages using the Zoom desktop application or a physical desk phone. Voicemail notifications are delivered through both the Zoom app and your SCSU Outlook email. This guide explains how notifications work and how to manage voicemail messages using Zoom and a physical phone.

Voicemail Notifications

Important: You will receive voicemail notifications in two places:

  • Zoom Desktop Application
  • Outlook (SCSU email)

What to Expect

  • When a new voicemail arrives:
    • The Zoom icon in your taskbar lights up and displays a notification count.
    • Inside the Zoom app, you’ll see the total number of new phone-related notifications (voicemail, call history, etc.).
  • You will also receive an email copy of the voicemail in Outlook:
    • You can play the voicemail directly from the email.
    • However, this is only a copy:
      • Playing or deleting the voicemail in Outlook does NOT mark it as played or deleted in Zoom.
      • You must manage the message in Zoom to clear notifications.

💡 Tip: Stay signed into the Zoom desktop app to avoid missing real-time notifications.


Manage Voicemail in the Zoom Desktop Application

  1. Open the Zoom desktop application and sign in.
  2. Go to the Phone tab (select it if not opened automatically).
  3. Click the Voicemail subtab on the left side.

Working with Voicemail Messages

  • Voicemails are displayed in reverse chronological order (newest first).
  • Hover over a voicemail to access available actions:
    • Play ▶️ — Listen to the message
    • Call Back 📞 — Return the call
    • More Options (ellipsis …) — Includes actions like:
      • Delete voicemail
      • Additional management options

Manage Voicemail Using a Physical Phone

  1. Dial *86 from your desk phone to access voicemail.
  2. Enter your voicemail PIN, then press #.
  3. Press 1 to listen to your messages (starting with new/unplayed).
  4. Follow the audio prompts to:
    • Save or delete messages
    • Move between messages
    • Manage your voicemail preferences

Tips & Notes

  • Always manage voicemails in Zoom (not Outlook) to keep your notification count accurate.
  • If you don’t see voicemail notifications, confirm you are signed into Zoom or contact ITS support.
  • Regularly clear old voicemails to keep your inbox organized.
