Getting Started with Zoom Phones

Introduction

St. Cloud State University is currently in the process of transitioning all employees from the current phone system to the Zoom phone service between December 2022 and June 2023. This article applies only to those who have been already been added to the Zoom Phone service and have been informed of this by a member of the IT department. This article provides a list of items that new Zoom Phone users should complete as soon as possible once notified to do so by the IT department. Learn more about this project on the Zoom webpage

 

Instructions

  1. Contact phonesupport@stcloudstate.edu as soon as possible if you do not yet have a headset and/or if you believe you need a physical desk phone
  2. Watch introductory tutorial videos (total of about 15-20 minutes)

  3. Configure important settings in the Zoom web portal – use the linked Knowledge Base articles below for instructions to complete all items below
    1. Add your emergency address(es)
    2. Set your Area Code 
    3. Set up your call handling settings/voicemail greeting
  4. Familiarize yourself with Zoom desktop application
    1. Open your Zoom desktop application on your work computer
    2. Explore Phone tab
      1. Navigate to the Phone tab within the Zoom application
      2. Locate the History, Voicemail, Lines and SMS tab
    3. Explore settings available within the Zoom phone application
      1. In the upper-right hand corner in the opened Zoom application, select your initials
        1. Review the menu that pops up, including Do Not Disturb features
        2. Select the Settings and explore options you can set for the phone and other general settings that may improve your Zoom Phones experience
  5. Familiarize yourself with the Zoom web portal
    1. Navigate to https://minnstate.zoom.us/ then log in with your StarID credentials
    2. On the left-side navigation menu, select “Phone”
    3. On the top navigation bar, select “Settings”
    4. Explore the settings available to you with Zoom phones and update your settings as you wish
